This privacy notice explains how Sandbach GPs of Ashfields Primary Care Centre collects, uses, stores, and shares your personal data when you use our private primary care medical services (branded as Thriving Clinic - Sandbach).
We operate as a commercial service separate from our NHS services. This service is provided exclusively to patients who are not registered on our practice's NHS patient list.
Sandbach GPs is the "Data Controller" for your information. This means we are legally responsible for deciding how and why your personal data is processed.
We collect personal and special category (health) data directly from you when you book an appointment online, complete digital intake forms, or during your consultations with our clinicians.
We process the following types of data:
Your private medical record is held on a secure, cloud-based platform called Cliniko. This database is completely distinct, siloed, and isolated from our NHS primary care system (EMIS Web). Your data cannot be blended or automatically synced between these platforms.
Under the UK General Data Protection Regulation (UK GDPR), we rely on the following legal frameworks to process your information:

We strictly minimize data sharing. Your records are only shared out of the Cliniko system in the following workflows:
Clinical Data: All patient records, intake forms, and billing charts are hosted on secure, UK-only servers provided by Amazon Web Services (AWS) via Cliniko. Cliniko's official UK Privacy Representative under UK GDPR Article 27 is VeraSafe United Kingdom Ltd.
We retain your private electronic health record strictly in line with statutory timeframes required by UK law. Once the statutory retention period expires, your personal data is permanently and securely erased from Cliniko, leaving behind only audited destruction logs.
